In Depth Portal Tutorial
1. To access the portal you have a couple of options:
Click on the client portal button at the bottom of every page.
Option 1: Direct Link
Click on one of these links. They will both take you to the portal. One takes you directly to the appointments page.
Fill this out with the CLIENT's name. If you are a parent, you'll put your information in a different place.
2. Once you have entered the portal, if you haven't signed up, you'll see this:
Fill out the client's information. Parents do not need to put their names here yet.
Your email address and password will be the login information you'll need to keep for your records. Make sure you take note of these.
3. The first time you enter the portal, you'll have this screen. Take note of the bar at the top, which has all of the links to areas that you'll need to complete.
First, go ahead and take the advice of the little blue bar and fill out intake forms. Complete these to the best of your ability with the client's information. If you're not sure, it's ok to leave things blank in this area, but more information is always better.
NOTE:
Make sure that when you're done you sign the documents. You can do so with your mouse or a touch screen. It doesn't need to be pretty... don't worry.
4. Once you've signed the forms, you'll need to go back to the main page and fill out demographic info. That's a little hidden, so here's where you find it:
First go back to the main page. It should take you there as soon as you save your signature. You should see the client's first name in the top corner.
Click on it, and you'll get this:
Then click on 'Demographic Info'
5. Complete Demographic info
That will take you to this screen:
Make a note! if you don't click the save button, it will not save the information. Make sure that you save anything that you complete, or it will not be retrievable.
6. Billing and insurance- Please fill out the insurance and billing info. The tab is on the top of the main window. It looks like this:
You'll come to a window like this. You need to click "Add Insurance"
It will open a window that looks like this. Please make sure that insurance info matches what is on your card.

7. Finally, make sure that you set up an appointment! That can be found in the tab that looks like this:
Click the 'new appointment' tab.
Select the type of service. For first appointments, "therapy intake' is appropriate.
Double click on an open slot that matches your schedule.
Double check that the time and date are correct, and write any notes that you want Justin to know about the specific appointment. If you want recurring appointments, make note of it here, and Justin will make it so, if possible.
Click save and log out! You're done!
